1. Your details and the clients details

At the top of the invoice, enter your details, or your business details, if you run your own business, as well as the client’s details.

2. Invoice number, invoice date, and due date

Invoice numbers are a legal requirement. Your invoices must be numbered in ascending order, without any gaps. If this is your first time sending an invoice, you can leave it as the default INV 1001. Your next invoice should be INV 1002. If you’ve invoiced previously, you need to check the number on your last invoice and set this number one higher.

In most cases, the invoice date should be today’s date. 

The due date is when you want to get paid by. There are many different payment terms, such as 7, 14, or 30 days. Usually, you shouldn’t give the client more than 30 days to pay the invoice. If you do, you risk damaging your business’ cash flow, because you won’t get paid for a long time.

Remember to upload your logo by clicking on the top-left field or dragging and dropping. This will help you build a strong brand.

3. Products and services

Add the products or services you’ve sold: Make sure to describe them so that it’s clear what you’re invoicing for. In this case, the description is ‘headshots’, but you can make it more specific than this. Then add the unit price and the quantity. 

If you’ve agreed on a discount with the client, you simply add the percentage. Then add the tax rate. The invoice generator will calculate the tax and the total for you.

4. Payment details

Let your client know how to pay you. You can enter your bank account details, a link to a payment gateway, or any other payment method you need, for example:

Remember to include SWIFT and IBAN, if necessary. 

Optional: Terms and conditions

You can also add terms and conditions to your invoice. This can either be information about warranties, late payment fees, or information about your returns policy. Here’s an example:

How to add a logo to your invoice

We recommend personalizing the invoice so that it fits your business. Adding a logo will let your client know who the invoice is from and it also makes your invoices look more professional, and helps you build a strong brand.

We recommend that you use your logo on all your invoices and include personal messages for your clients to thank them for doing business with you. This will make you stand out and help you establish good client relationships

If you don’t have a logo, you can use free logo makers like the one from Adobe or Canva. Please note you’ll probably have to make an account in order to create your logo. You can also consider hiring a designer to make one for you, or try your hand at making your own in Figma or even in Paint.

What are the different types of invoices I can make?

Why do I need a due date on my invoice?

The due date tells the customer when they have to pay you. It also lets you know when you should start following up on unpaid invoices. Usually the due date shouldn’t be more than 30 days from the day you issue the invoice. 

Can I customize the invoices?

Can I edit the invoices?

No, legally you’re not allowed to edit an invoice once it’s been created. That’s because invoices are documentation required for bookkeeping and auditing. Each invoice you make should have a unique number and there should be no gaps in your invoice sequence. 

If you’ve made a mistake when creating the invoice, you have to credit the invoice. This is called making a credit note.

How can I change the date format on my invoices?

Can I add a discount to my invoice?

It’s very simple to add a discount to your invoice using the online bill generator. Just fill in a percentage in the discount field per item. If you’ve agreed with the customer that they should receive a 25 percent discount on the whole purchase, you simply add 25 percent per item. Note that if you use invoice software, you can set standard discounts for specific clients. 

Can I add more items to my invoice? 

Yes, just click + Add new item at the bottom of the item list to add another item to your invoice. You can delete items by clicking the red X.

How can I set up recurring invoices?
