Many people use Word for invoicing. In fact, in August 2025, there were 27 100 Google searches for the phrase ‘invoice template for word’.

However, before you get started using Word for your invoicing, you should check that it meets the requirements in your country—using Word or Excel might not be compliant with bookkeeping rules.

How to set up an invoice template for Word

Your template should include the following, usually from top to bottom: 

  • The header invoice or tax invoice if the invoice includes tax

  • Your details, including your business name, business address, organization number, and optionally, your phone number and email address. 
  • Space for the client’s name or business name and address 
  • The invoice date, in other words, the date the invoice was issued
  • The due date, for example 14 days after the invoice date
  • A unique invoice number
  • Space for a description of the goods or services that were sold, including unit price, quantity, tax rate
  • The total amount that’s due
  • Instructions for how to pay

It’s also a good idea to include a thank-you message to the client. Studies show that invoices that include ‘thank you’ and ‘please’ are more than 40 percent likely to get paid within 7 days.

Every time you need to invoice, you can simply open the template, create a copy, and fill out the details.

What is an invoice number?

All your invoices need to have a unique number. The numbers should be in ascending order. The reason for this is that it should be possible for someone, like an accountant or auditor, to review all your invoices.

The first time you create an invoice, you can start with any number you want, but you must continue with the next number in the sequence. If you start with 1001, the next invoice has to be marked with 1002, and then 1003 and so on.

Building a strong brand with your invoice template

It’s important to include your logo on all your business documents, including your invoices. This makes you more memorable and makes you appear more professional. 

Additional things you can do to strengthen your brand, is to use your brand font and colors on your invoice. Don’t be afraid to play around with the look and feel of your invoice until you find something that suits your business.

If you create an invoice in Word, you export the invoice to PDF and email it to your client. You then have to store the invoice somewhere safe, for example in Dropbox or Google Drive. Remember that your laptop can get damaged or stolen.  

You also have to set reminders to remember to follow up on the invoice by the due date. Once the invoice has to be paid, you have to manually mark it as paid to differentiate it from the unpaid invoices that you still have to follow up on.

If you create your invoice with invoicing software, you can send it straight from the software to the client. Once that’s done, you don’t have to do anything else. The invoice will be safely stored and can be accessed from your desktop or even from the free mobile app. You’ll also be notified once the invoice is past its due date. 

When you mark the invoice as paid in the invoicing software, it’ll not appear in your unpaid invoices list. It makes it much easier to prioritize what to follow up on.
