How to create an invoice

As a small business owner, you have several options for creating invoices. The three most common methods are:

• Custom invoice template: Create an invoice template from scratch using a spreadsheet or word processing software. The main benefit of creating your template is that you can tailor and customise invoice templates to your own needs and branding. A limitation, however, is that templates are both time-consuming to create and use.

• Online invoice templates: Download a free invoice template and create invoices in Microsoft Word, Excel or Google docs. Invoice templates are easy to use, and will guide you to include the right information. Yet, the process of sending the invoice remains time-consuming, which only makes it a reasonable alternative for individuals and businesses that only send a few invoices a year.

• Invoicing software: Invoicing software helps you keep track of who you have billed and who has paid you. It makes the process of sending and managing invoices quick and easy, allowing you to focus on the business instead of unnecessary paperwork. Making an invoice and sending it to a customer in an invoicing software takes half the time than a template. Another benefit of invoicing systems is that they automatically remind your customers when payment I due, so you do not have to chase them down for money. In sum, invoicing software saves you time, and hassle, and makes sure you get paid on time.

How to use an invoice template

Here is a step-by-step guide on how to use one of our invoice templates:

1. Open the template in Microsoft Word, Excel or Google docs.
2. Fill in your business information, such as name, address and contact information, in the top left corner of the invoice.
3. Add the name, address and other relevant information on your customer.
4. List the products or services you have delivered and the associated cost. Remember to include a description, quantity and unit price.
5. Add up the cost of all items to calculate the total amount due.
6. Add additional details or notes that you find relevant to include in your invoice, such as payment terms, date and invoice number.
7. Print and send the invoice to your customer via email.
8. And you are done!

💡 PRO TIP: Inform your customer that late payment fees will occur if payments are not made on time. This has proven to increase the likelihood of getting paid on time.
